​1. Driver Requirements 
​To ensure safety and comply with our insurance policies, all drivers must meet the following criteria:
​Minimum Age: Drivers must be 25 years of age or older.
​Valid License: Drivers must present a valid International Driving Permit (IDP) issued under the 1949 Geneva Convention, along with their original domestic driver's license and passport.
​Note: For license holders from Switzerland, Germany, France, Belgium, Monaco, and Taiwan, a Japanese Translation issued by JAF or the respective embassy is required.


​2. Cancellation Policy 
​If you need to cancel your reservation, the following fees will apply based on the date of notice. The percentages are calculated based on the total basic rental fee:

6 to 3 days before pick-up 30% of total fee
2 to 1 day before pick-up 50% of total fee
On the day of pick-up / No show 100% of total fee

Important: If more than one hour passes after your scheduled pick-up time without notice, the reservation will be treated as a "No Show" and cancelled automatically.


​3. Payment & Procedures 
​Payment: All payments must be settled at the time of vehicle pick-up via credit card or approved electronic payment.
​Extension: If you wish to extend your rental period, please contact us at least 24 hours in advance. Extensions are subject to vehicle availability.
​Fuel Policy: Vehicles are provided with a full tank and must be returned with a full tank. Otherwise, a refueling fee based on mileage will be charged.


​4. Prohibited Acts 
​The following acts are strictly prohibited and may void your insurance coverage:
​Driving under the influence of alcohol or drugs.
​Sub-leasing the vehicle to a third party.
​Smoking inside the vehicle (All our cars are non-smoking).
​Using the vehicle for illegal activities or off-road driving.


5. Accidents, Damages, and Compensation
​In the event of an accident, theft, vehicle failure, or damage (including interior stains or odors) during the rental period, the following charges will apply regardless of the degree of damage or the driver's fault:
​Insurance Deductible (Self-Pay):
Unless the "Full Coverage / Collision Damage Waiver (CDW)" has been purchased in advance, the renter is responsible for an insurance deductible of up to 100,000 JPY for property damage and vehicle damage.
​Non-Operation Charge (NOC):
If the vehicle must be removed from service for repair or cleaning due to an accident, breakdown, smoke, or foul odors (including tobacco or electronic cigarette use), the renter must pay the following as compensation for business interruption:
​If the vehicle can be driven back to the designated return location: 30,000 JPY
​If the vehicle cannot be driven (requires towing): 100,000 JPY
​Towing Fees: Any towing costs exceeding the coverage provided by our insurance policy will be the sole responsibility of the renter.
​Failure to Report: All accidents must be reported to both the Police and Iroha Rentacar (168rentacar) immediately. Failure to provide a police accident report will void all insurance coverage, and the renter will be liable for the full cost of repairs and damages.

​Identity Information: Full name, date of birth, nationality, and gender.

​Travel Documents: Copies of your Passport and International Driving Permit (IDP).
​Driving Credentials: Copies of your domestic driver’s license and Japanese translations (where applicable).
​Payment Information: Credit card details and billing records.
​Vehicle Usage Data: GPS location data (for vehicle security and emergency assistance).

​2. Purpose of Data Collection
​We use your personal information strictly for the following purposes:
​To process and confirm your vehicle reservations.
​To verify your identity and eligibility to drive in Japan.
​To manage insurance coverage and process claims in the event of an accident.
​To comply with Japanese legal requirements, including the maintenance of a renter’s ledger.
​To provide roadside assistance and customer support during your rental period.
​To process payments and security deposits.

​3. Data Sharing and Disclosure
​We do not sell your personal information to third parties. We only share your data in the following necessary circumstances:
​Insurance Providers: To facilitate insurance coverage and handle accident reports.
​Payment Processors: To securely process your transactions.
​Law Enforcement: When required by Japanese law or in response to traffic violations and safety investigations.
​Emergency Services: Such as towing companies or medical providers in the event of an emergency.

​4. Data Security
​We implement strict technical and organizational security measures to protect your personal data from unauthorized access, loss, or alteration. Digital data is stored on secure servers, and physical copies of documents are kept in restricted-access facilities.

​We retain your personal information only as long as necessary to fulfill our service obligations and to comply with Japanese legal, tax, and accounting requirements.
